Real estate CRM: buy a generic one or build it custom?
Every agency that wants to get its leads in order reaches the same decision sooner or later: an off-the-shelf CRM, or something custom? And like almost everything, the honest answer is: it depends. A generic CRM is cheap and fast to start. It also often forces you to sell the way the software thinks you should — not the way you sell.
When a generic CRM is fine
Be honest with yourself. An off-the-shelf tool makes sense when:
- Your sales process is fairly standard and the CRM fits without pain.
- Your team is small and what you mainly need is to not lose leads.
- You don't have a particular flow that gives you an edge and that the CRM forces you to abandon.
If that's you, start there. Don't over-invest in something a subscription solves.
When the generic CRM gets in the way
- It molds you to its shape. You end up changing how you sell to fit the system, and lose what made you different.
- Fields and steps that don't fit. The very way you qualify a lead or follow up is the one the CRM does halfway.
- Trapped data. Your information lives in someone else's system, and connecting it to your portals, your site, or your WhatsApp is costly.
- You pay for modules you don't use. The plan with what you need brings twenty other things you don't.
What an agency gains from a custom system
Custom doesn't mean bigger. It means built around how you sell: your lead sources, your way of qualifying, your follow-up, your portals. It can replace your CRM or connect to it — whatever makes sense for you.
The best CRM isn't the one with the most features. It's the one that adapts to how you sell, instead of forcing you to sell like it.
The simple rule
A custom system earns its place when selling is the heart of your business, when a generic CRM forces you to work differently, and when that friction actually costs you leads and sales. Below that threshold, a subscription is the right answer.
