How to control your parts inventory without going crazy

Auto shopsOperations

In an auto shop, parts inventory is one of those things that's "more or less" under control — until it isn't. One day the part is missing right when the car's already apart, and the job stalls waiting on the supplier. Another day you find three boxes of the same filter no one remembered buying. Both cases are money: the money you didn't bill because of the delay, and the money asleep on a shelf.

Why inventory never adds up by hand

  • It comes and goes with no record. A part gets used in a repair and no one deducts it. Another gets bought and no one logs it. The real number and the imagined one drift apart.
  • No one knows what's there. When inventory lives in the memory of whoever runs the counter, all it takes is for that person to be out for everything to stall.
  • Shortages surprise you. You find out a part is missing when you need it, not before — the worst possible moment.
  • Surpluses hide. Over-buying doesn't hurt right away, but it's frozen capital you don't see.

What changes when inventory tracks itself

We're not talking about counting boxes every day. We're talking about the system keeping the count for you:

  • Every part that comes in or goes out is recorded, with no extra effort.
  • You know in real time what's there, what's missing, and what's about to run out.
  • Alerts before a shortage stalls a job.
  • Data to buy smarter: what turns over fast and what you haven't touched in months.

Inventory doesn't cost you when you count it. It costs you when you don't know it's missing until it's already stalled a job.

Less money sitting still, fewer stalled jobs

Inventory under control isn't bureaucracy — it's no longer losing money on two fronts at once: the money frozen in extra parts and the money you don't bill when a shortage stops a repair. Done well, it also stops depending on one person remembering everything.
